Private Chef Services

Terms & Conditions of Service

Effective Date: 22 September 2023 · Valhalla Catering

These Terms & Conditions govern the booking and provision of private chef services by Valhalla Catering ("we," "us," or "the Company") to the client ("you" or "the Client"). By making a booking with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

01

Booking Confirmation

A booking is not considered confirmed until the Client has provided all required event details and a 25% deposit of the total booking price has been received by the Company.

The 25% deposit is required to secure and lock in the requested event date and chef availability. Until the deposit has been received, the requested date is not guaranteed and may be offered to another client.

02

Deposit & Cancellation Policy

A 25% deposit of the total booking price is required at the time of booking.

The deposit is refundable if the booking is cancelled at least 14 days (two weeks) before the scheduled event date. If the Client cancels less than 14 days before the event, the 25% deposit will be non-refundable.

For clarity: 14 days or more before the event — deposit is refundable. 13 days or fewer before the event — deposit is non-refundable.

Any cancellation must be made in writing via email or another agreed method of communication.

03

Final Payment

The remaining 60% balance is due no later than 7 days before the event date.

If the final balance is not received by the due date, the Company reserves the right to treat the booking as cancelled and retain the deposit.

Any additional costs incurred during the event — including approved extras, additional guests, additional menu items, extended service time, or other agreed services — must be paid in accordance with the Company's payment terms.

04

Changes to Booking

The Client must notify the Company as soon as possible of any changes to guest numbers, event location, event date or time, menu requirements, dietary requirements, allergies, or service requirements.

Changes to the booking may result in additional charges or may not be possible depending on availability. Any significant increase in guest numbers may require an adjustment to the total booking price.

05

Menu & Ingredients

Menus will be agreed upon between the Client and the Company prior to the event.

The Company may make reasonable substitutions to ingredients where necessary due to availability, seasonality, supplier issues, or other circumstances beyond the Company's control. Where possible, the Client will be notified of significant substitutions.

06

Allergies & Dietary Requirements

The Client must disclose all food allergies, intolerances, dietary restrictions, and special requirements at the time of booking or as soon as they become known.

While the Company will take reasonable precautions to accommodate disclosed dietary requirements and allergies, the Client acknowledges that food preparation environments may contain common allergens. The Company cannot guarantee an entirely allergen-free environment.

07

Event Location & Kitchen Facilities

The Client is responsible for ensuring that the event location has suitable kitchen facilities, equipment, electricity, water, refrigeration, cooking surfaces, and reasonable working space unless otherwise agreed in writing.

The Client must provide the Company with accurate information regarding the venue and available facilities before the event. If the venue or kitchen facilities are materially unsuitable for the agreed service, the Company may need to modify the service or menu.

The Client is responsible for providing all plates, cutlery, glassware, and servingware for the event unless otherwise arranged with the Company in writing prior to the event. If the Company is requested to provide plates, cutlery, glassware, or servingware, an additional rental cost will apply, which will be communicated to the Client and agreed upon before the booking is confirmed.

08

Service Times

The agreed arrival time, preparation time, serving time, and departure time will be confirmed before the event.

Additional time requested by the Client may incur additional charges. Delays caused by the Client, guests, venue access, unavailable equipment, or circumstances outside the Company's control may affect the scheduled service.

09

Additional Guests & Services

The Client may not increase the number of guests without prior approval from the Company.

Additional guests, menu items, courses, drinks, staff, equipment, travel, or service time may result in additional charges. Any additional charges will be communicated to the Client where reasonably possible before they are incurred.

10

Travel & Additional Expenses

Travel fees, accommodation, parking, equipment hire, venue fees, special ingredients, or other reasonable expenses may apply depending on the location and requirements of the booking.

Any applicable charges will be communicated to the Client before the booking is confirmed where reasonably practicable.

11

Client Cancellation

If the Client cancels 14 days or more before the event, the 25% deposit will be refunded, subject to any agreed non-refundable third-party expenses already incurred by the Company.

If the Client cancels less than 14 days before the event, the 25% deposit will be retained by the Company and will not be refunded.

If the Client has paid more than the 25% deposit, any refund of amounts above the deposit will be considered in accordance with the circumstances of the cancellation and any costs already incurred by the Company.

12

Company Cancellation

If the Company is required to cancel a booking due to circumstances within its control, the Company will provide the Client with a refund of amounts paid for services that will not be provided.

If cancellation occurs due to circumstances outside the Company's reasonable control — including serious illness, natural disasters, government restrictions, venue closure, or other force majeure events — the Company will work with the Client to reschedule the booking where reasonably possible.

13

Force Majeure

The Company will not be liable for failure or delay in providing services where such failure or delay results from circumstances beyond the Company's reasonable control, including but not limited to natural disasters, severe weather, illness, accidents, supplier disruptions, transport disruptions, government restrictions, power outages, or other unforeseen events.

14

Property Damage & Client Responsibility

The Client is responsible for providing a safe and suitable working environment.

The Client may be responsible for costs associated with damage caused by the Client or guests to the Company's equipment, property, or hired equipment, other than reasonable wear and tear.

15

Photography & Promotion

The Company will not use photographs of the Client, guests, private residence, or event for marketing or promotional purposes without appropriate permission. Where photographs are taken by the Company for promotional purposes, the Company will seek the Client's consent where required.

16

Liability

The Company will take reasonable care in preparing and serving food and providing its services.

To the extent permitted by applicable law, the Company is not responsible for losses, damages, delays, or injuries arising from circumstances outside its reasonable control or from information that was not disclosed by the Client, including undisclosed allergies or dietary requirements.

Nothing in these Terms & Conditions excludes or limits any rights or obligations that cannot legally be excluded or limited under applicable law.

17

Acceptance of Terms

Payment of the deposit constitutes acceptance of these Terms & Conditions. By paying the deposit, the Client confirms that they have read and agreed to these Terms & Conditions and understand the Company's cancellation and refund policy.
